2.Core records

Core records are defined in O. Reg. 48/01. They come faster (with the board's response, or 7 days after you pay) and cost least: nothing at all for an electronic copy.

3.Non-core records

Everything else the corporation keeps is non-core: older minutes, the reserve fund study itself, contracts, invoices, engineering reports, warranties. The corporation has 30 days after you pay to provide them, and may charge a reasonable fee based on its actual labour and delivery costs. Be specific and give a date range.

What to enter on the mandatory form

The CAO's Request for Records form is mandatory: this text tells you what to tick and type on it, box by box. It does not replace the form.

Sign and date the form ("Dated this ___ day of ___").

Deliver it to the corporation's address for service or its manager by mail, courier, or the corporation's mailbox, or by email only if the board has passed a resolution accepting email delivery (O. Reg. 48/01, s. 13.3(4)). Keep proof of the date it was delivered.

Your deadlines

    The rules this tool follows

    Taken from the Condominium Act, 1998, O. Reg. 48/01 and the Condominium Authority of Ontario's records guidance. Verified September 22, 2026.

    • You must use the CAO's mandatory Request for Records form. A request that is clear is still valid even if a box is missed; the Tribunal has said an incomplete form is not a reasonable excuse to refuse a clear request.

    • You don't have to say why you want the records. The request only has to relate to your interests as an owner, purchaser or mortgagee.

    • The board has 30 days to respond on its own mandatory form, and any refusal or redaction must come with a written reason and the section it relies on.

    • Electronic copies of core records are free. Paper copies cost at most 20 cents a page. Fees for non-core records must be a reasonable estimate of actual labour and delivery costs.

    • If the corporation refuses without a reasonable excuse, the Condominium Authority Tribunal can order it to produce the records and pay you a penalty of up to $5,000.

    • Miss the windows and you start over: 60 days after the board's response to pay or apply to the Tribunal, and six months from your request if you never get an answer.
